How it works
Messages are delivered as push notifications if the learner has granted permission. They also appear in the in-app inbox regardless — so learners always see them when they open the app.

This tool is to be used purely to assist learners with access to SCL systems and must not be used for any other purpose. SCL staff are not permitted to access learner accounts, and this system keeps a full audit trail of every action.

This tool only shows the initial password assigned at import, or a new password generated by a reset performed here. It cannot show a password the student has since set themselves — if a student has changed their own password and is now locked out, use Reset Password to issue a new one.

Welcome Email Template

The email sent to students with their Microsoft login details. Use {{first_name}}, {{username}}, {{password}} and {{student_ref}} — filled in per student when you send.

Send Welcome Emails

Tick the students and send. Welcome emails go to SP-First Year learners only — returning learners are shown greyed out and can't be selected. A learner also needs a personal email and a password on record. The Welcome column shows who's already had it.

Send to every eligible SP-First Year learner matching the Scope + Status above — not just the ones shown. Returning learners, anyone already signed in, and anyone without a personal email or password on record are skipped automatically. Bulk send only applies to “Not yet emailed” or “Bounced / failed” — to re-send to someone already emailed, use the ✉ on their row.
Returning Email Template

Sent to returning learners at their personal email address (their SCL login appears in the body as {{username}}). Use {{first_name}}, {{username}} and {{student_ref}} — filled in per learner when you send.

Send Returning Emails

Tick the learners and send. Returning emails go to Returning learners with a Formal Offer and a personal email on record, sent to their personal email address. New learners, and anyone without a personal email, are shown greyed out. The Returning column shows who's already had it.

Daily Centre Alerts

Emails a daily alert (around 08:00) when any active centre is missing GPS coordinates or isn't categorised as Sport, Performing Arts or Core Skills. Only sends when at least one centre needs attention.

Reviewers only see enquiries, applications, events and student logins for the centres assigned to them here. A Reviewer with no sites assigned sees nothing. Admins, Users and Super Admins always see all sites and don't need assigning. Users appear here automatically after their first sign-in.

System Checks

Checks the external services SCL One depends on. Live checks actually contact the service and prove the credential works right now (e.g. an expired admin sign-in secret shows here before it breaks login). Config checks confirm the settings are present and well-formed, without a paid call.

Testing Mode

When enabled, a warning banner is shown to all learners every time they open the app. They must dismiss it before continuing.

Controls who can see the "Create accounts in Entra" tool in Student Logins. Admins always have access.

Email Settings

Set the email addresses that receive notification emails from the platform.

Receives an email when a learner requests a call back from the app.

Receives a copy of each web enquiry form submission.

Receives an email when Azure Monitor detects the API is down.

Blind-copied on every welcome and returning email sent to students, so you can confirm they're going out correctly. Leave blank to send only to the student. Separate multiple addresses with commas.

Reviewer — No Sites Message

Shown as a banner to a Reviewer who signs in with no sites assigned (in Site Access). Use it to tell them what to do — e.g. who to contact to get set up.

Optional. If set, the banner shows a 💬 Message on Teams button that opens a Teams chat to this person. Leave blank to hide the button.

App Store Links

Store the public download links for the iOS and Android apps. These will be used when sending installation links to learners.

The App Store link for the iOS app (apps.apple.com/…).

The Play Store link for the Android app (play.google.com/…).

App Version Control

Prompt learners to update the app. Use the version number as shown in the stores (e.g. 1.2.0). Leave a field blank to disable that prompt. The store links above are used for the update button.

Learners on an older version see a dismissible "update available" prompt.

Learners below this version are blocked until they update. Use sparingly.

Applicant Eligibility

The age range (in whole years, inclusive) an applicant must fall within to apply on the SCL One app. Anyone outside this range is blocked at the Personal Details step with an explanation. Age is worked out from their date of birth.

Tab Order

The order tabs appear in the top bar, for everyone. Use the arrows to move a tab up (left) or down (right). Tabs a role can't see are simply skipped.

Application Offer Ranking

The Application Offer stages, ordered from least progressed (top) to most progressed (bottom). When the same student (UPN) appears more than once in a Student Logins import, the row with the most progressed offer is imported and the rest are skipped. Add each offer value exactly as it appears in your export, then use the arrows to order them.

Role Permissions

Configure which tabs each role can see. Super Admin always sees everything (including Settings). Settings is Super-Admin-only and Audit Log stays Admin-level. Workflows still needs admin-level access to work, so only grant it to Admins.

Learner Statuses

Define the statuses your team uses to track each learner. These appear as coloured badges in the applications list and can be assigned from the learner detail panel.

Learner Types — New vs Returning

Decide how each Application Type is treated. New learners are eligible for welcome emails (they're getting their login details for the first time); Returning learners already have accounts and are never emailed login details. Types you haven't set default to Returning if the name contains "Progression", otherwise New.

Each event has its own check-in QR code. Use the QR button on an event to open it, then Download PNG to print or display it at the event.
Make sure every attendee scans the QR code and checks in on the day — that records their attendance, links them to the event, and lets them start their application with the same details carried over.
